How to manage a company's online reputation

What online reputation is, how to measure it and what to do, step by step, to manage it before a problem reaches the media.

What online reputation is

Online reputation is what is said and perceived about a company on the internet: media, social networks, forums, reviews and search engines. Today it is the first impression for customers, investors, candidates and public bodies, because almost everyone searches on Google before deciding.

It is not the same as brand image. The company builds its image; others build its reputation from what they see.

Why it is managed too late

Most companies look at their reputation once a problem is already visible. But problems rarely start in a major outlet: they start in a review, a comment on an industry forum or a local outlet, and grow for days before reaching leadership.

How to measure it

Measuring reputation is not counting mentions. What matters is:

  • Tone: whether what is said is positive, neutral or negative, and whether it is changing.
  • Source: a national outlet does not weigh the same as an account with no followers.
  • Reach: how many people may have seen it.
  • Trend: whether a topic is growing, levelling off or fading.
  • Topic: what people talk about when they talk about the company (price, service, jobs, ethics…).

How to manage it, step by step

  1. Know where the company is discussed. Map the sources that matter for the industry: media, social networks, review platforms, professional forums.
  2. Listen continuously. Checking once a month is not enough. The reading has to be daily, or at least weekly, with alerts when something changes.
  3. Tell noise from risk. Not every negative comment deserves a reply. Classify each signal by severity and decide from there.
  4. Respond with judgment. When a reply is needed, make it quick, back it with data and post it on the same channel where the topic arose.
  5. Build, not just defend. Reputation is also built proactively: own content, prepared spokespeople and presence on the topics where the company has something to contribute.
  6. Measure the effect. Check whether actions change the tone and reach of the conversation.

The role of artificial intelligence

AI makes it possible to read thousands of public signals a day, in several languages, and classify their tone and severity. It does not replace the judgment of those who decide, but it gives them the reading in time, which is what is usually missing.

Frequently asked questions

Can negative reviews be deleted? In general, no. Only unlawful or false content can be taken down on request. What works is responding well and generating positive information that carries more weight.

How often should reputation be reviewed? Continuously. A crisis can form in hours.

What data can be analyzed? Public information: media, social networks and open websites. Always within the GDPR.

Where do I start? With a diagnostic: knowing what is being said today, where and in what tone.
